VA Community Care
VA Community Care Billing for Chiropractic and Acupuncture Practices
Care for Veterans through VA Community Care comes with referrals, visit limits, and date ranges. Soundry tracks every VA referral, applies the right one to each visit, and checks each claim for the exact referral number and Veteran identifier before it is submitted.
- Track every VA referral with its dates and covered visits
- Apply the right referral to each visit automatically
- Check the referral number and Veteran ID before every claim
Why VA Community Care Claims Get Rejected
The most common problems come straight from the VA and TriWest provider rules.
Missing or malformed referral number
Claims without the VA referral/authorization number are denied or rejected, and extra characters or spaces in the number cause denials. The expected format is VA followed by 10 digits, such as VA0001234567.
Care outside the referral
Services must fall within the referral’s Standardized Episode of Care (SEOC): the authorized visits, dates, and procedures. Additional care needs a request for services and VA approval first.
Wrong or missing Veteran identifier
Claims need the referral number plus an accepted Veteran identifier, such as the 17-character ICN or the Social Security number.
Wrong payer or late filing
Community Care Network claims go to Optum for Regions 1–3 and TriWest for Regions 4–5, as stated on the referral. TriWest requires claims within 180 days of the date of service.
Sources, checked November 2026: VA Community Care provider claims, TriWest VA CCN billing and claims, and TriWest CCN processes and procedures. Always follow the instructions on the Veteran's referral.
How Soundry Handles VA Referrals
Built for Veterans with more than one referral, so every claim goes out against the right authorization.
Record each VA referral
Add every VA referral for a patient with its referral number, start and end dates, and covered visits. Notes keep separate episodes apart, such as a chiropractic referral and an acupuncture referral. VA referral numbers require dates, so expiry is never unknown.
VA-aware patient records
For VA payers, Soundry asks for the Veteran’s ICN instead of a member ID and a referral number instead of a prior authorization number. No insurance card is needed.
The right referral on every visit
When a visit is signed, Soundry checks which referrals cover that date. One match is applied automatically; if several match, you choose; if none covers the visit, you see a warning before the claim is created.
Guardrails before you bill
Soundry flags an expired referral, a referral with no remaining covered visits (which requires an explicit override), and a VA referral missing its dates.
Checked before submission
Before a VA claim goes out, the referral number is normalized and checked for the exact VA-plus-10-digits format, and the member ID is checked as a valid ICN or a 9-digit SSN that matches the chart. Claims go electronically to the VA Community Care processors.

VA Community Care Billing Questions
Do chiropractors and acupuncturists need a VA referral before treating a Veteran?
Yes. Except for urgent or emergent care, VA Community Care requires an approved referral/authorization before care is provided, and services must stay within the referral’s Standardized Episode of Care.
What format does the VA referral number need on a claim?
VA followed by 10 digits, for example VA0001234567, with no extra characters, spaces, or words. TriWest denies or rejects claims with a missing or malformed referral number.
Where do I submit VA Community Care claims?
File with the Community Care Network administrator named on the referral: Optum for CCN Regions 1–3 and TriWest for Regions 4–5.
How long do I have to file a VA Community Care claim?
TriWest requires authorized claims to be filed within 180 days of the date of service; later claims are denied for timely filing.
Can I collect a copay from a Veteran seen through Community Care?
No. Under the Community Care Network, TriWest instructs providers not to collect copays, cost shares, or deductibles, and not to balance bill the Veteran; CCN reimburses up to 100% of the allowed amount.
How does Soundry handle a Veteran with more than one VA referral?
Each referral is stored with its own number, dates, and covered visits. At visit signing, Soundry applies the one referral that covers the visit date, asks you to choose when more than one does, and warns you when none does.
